The Solid Logic Of It All
INTREPs Business Systems & Training

With the decision to record details of ‘entities’ – chattels, manufacturing tools, people(employees, customers, suppliers), capital goods etc - and ‘events’ – start/finish work times, financial transactions, meetings etc) – the following important question subsequently arises:

"With recording processes constituting a ‘Working Overhead’, what is the most time efficient method of completing them?"

Broadening considerations somewhat, the following conclusion evolves in most minds relating to this question:

"Less time spent on ‘Recording’ facilitates more time to complete other things".

And/Or:

"Rapid/efficient recording provides the means – in terms of time and effort – to record ‘more’."
Not a lot of use however, without corresponding ‘information dissemination’ methods.

Obviously – within any sort of business – records are required, but often, the extent of creating them is compromised, to save time and to minimise effort. Anyway, super-geared record keeping employees are hard to come by nowadays, even with the existence of super-geared contemporary record keeping amenities.

Where the factors above are often considered by business managers, due to widespread misconceptions about ‘laborious recording processes’, the following are not:

‘Pick-Posting’ recording methods depend on the existence of preliminary records, which:
  • Facilitate super-rapid data posting with minimum PC user operations
  • Create ‘consistent’ data, much facilitating reliable information dissemination
  • ‘Prevent’ – with ‘Not Listed’ constraints - irrelevant and useless data input
Preliminary records used to feed ‘pick-post’ data input processes also naturally expand the scope of information provision, but of course, more work is required to bring them into being. When they exist however, the whole recording scene morphs into considerable sophistication. Substantiated with the following example:

Keeping a ‘To-Do’ list most often calls for the combination of the following inputs:
  • Date: to determine when a planned event is to take place
  • Equipment: where particular machinery/tools/utilities are to be used in the completion of a task. Alternatively, the planned event/task may primarily involve the determined ‘equipment’: servicing, repair, warranty return to manufacturer etc
  • Person: to complete the determined task, where manpower is specifically allocated in accordance with pre-planned production efficiency
Thus, within expanded ‘Pick-Post’ data processing environments, the following exclusive example records are evident:
  • Date: exists within an exclusive ‘Calendar’ record set, including corresponding ‘Days’, duly preventing format mis-matches and subsequent ‘Date’ postings preceding/beyond its range
  • Equipment: exists within an exclusive record set, including serial numbers, origination date, warranty expiry date, along with ‘Pick-Posted’ details from the following sub-record sets:
    • Manufacturers
    • Suppliers
    • Servicing history
  • Person: exists within an exclusive ‘Employees’ record set – forming primary ‘HR’, ‘Payroll’ and/or ‘Pensions records – including ‘Sickness Absences’, ‘Pension Contributions’, ‘Planned Holidays’ etc
Alternatively, if the proposed ‘To-Do’ task relates to preparations for ‘Customers’, then supplementary ‘Customer’ records are utilised for pick-posting, similarly.

Where the ‘Pick-Posting’ data input concept admirably utilises – and efficiently manages - expanded data storage, what of the extra time costs of originating and up keeping such? With super-geared contemporary amenities – typically MS Office/Access or MS SQL Server, combined with INTREPs MS Office ‘Additions’ – THERE AREN’T ANY.

'Prospects-V2-LAN' – suitable for any type of business – facilitates 3 tiered data structuring – as is required for common To-Do recording – and it transfers ‘original’ data to all other INTREPs ‘Additions’, which all also feature easily operated ‘MS Data-Links’ facilities. ‘MS Data-Links’ passes masses of data directly from MS Access to MS Excel, MS Word and even MS NotePad.
